What to Include in an Equipment RFQ for Faster, More Accurate Quotes

The quality of a quote depends on the quality of the request. A vague enquiry leads to clarifying questions, delays and sometimes the wrong product. A complete request lets a sourcing team start work immediately.

The essentials

  • Product or equipment name
  • Manufacturer or brand
  • Model number
  • OEM or part number
  • Required quantity
  • Delivery location and required date

Helpful extras

  • Technical datasheet or drawing
  • Photographs of the item and its nameplate
  • Operating conditions such as pressure, temperature, voltage or flow
  • Material or standard requirements
  • Required documentation, for example certificates or test reports

Be clear about priorities

Tell the sourcing team what matters most. Is the requirement urgent? Must the item be a specific brand, or is a suitable equivalent acceptable? Is price or lead time the main factor? These answers change how the options are compared.

Send a full list at once

If you need several items, send them in a single equipment list or spreadsheet. This makes it easier to compare options, consolidate shipments and sometimes reduce overall cost and freight.
