Two quotations for the same equipment can cover very different requirements. Before selecting an offer, compare what each supplier is actually providing, along with the price. A clear comparison helps your procurement team avoid missing items and last-minute changes.
Start with the specification
Match the manufacturer, model, part number, quantity and required technical details against your request. If an alternative is offered, ask for its datasheet and identify every difference. Your technical team should approve suitability before an order is placed.
Check what the offer includes
- Availability and lead time: Confirm whether the item is in stock, subject to supplier confirmation or made to order.
- Accessories and consumables: Check which fittings, cables, tools or other items are included.
- Documentation: Specify required datasheets, certificates or inspection records and confirm their availability.
- Warranty: Review the supplier or manufacturer terms, coverage and claim process.
- Packing and delivery: Establish the packing method, shipping scope, delivery destination and any separately quoted charges.
Record the agreed scope
Use a simple comparison sheet and ask suppliers to clarify gaps in writing. Confirm the final specification, delivery scope and commercial terms before placing an order. Price is easier to assess when every quotation covers the same requirement.
