OEM Part Numbers and Nameplate Photos: A Sourcing Checklist

A clear equipment reference is the starting point for sourcing the right spare part. Similar-looking items can have different ratings, dimensions or connections. Collecting the correct information helps a supplier identify your requirement and explain any uncertainty.

Record the original reference

Share the manufacturer, equipment model, serial number and exact OEM part number. Include any suffixes or revision letters. If you have a parts manual or a previous purchase record, provide the relevant page or line item for comparison.

Photograph the information that matters

  • A clear, readable image of the equipment nameplate.
  • The part label, markings and packaging reference, if available.
  • Overall views of the part and its connections.
  • A drawing or datasheet showing required dimensions and ratings.

Use photographs taken safely by your team, without disturbing operating equipment. Avoid including confidential site information that is unrelated to the sourcing request.

Explain the required supply

State the quantity, delivery location and required date. Tell the supplier whether you need the exact original part or can consider a documented alternative. Replacement compatibility must be reviewed by your responsible technical team; a matching appearance alone does not confirm suitability.
