When you buy industrial equipment, the paperwork can matter as much as the product. Depending on the item and the manufacturer, different documents may be available. Knowing what each one is for helps you ask for the right ones.
Common documents
- Manufacturer datasheet: technical specifications of the product
- Certificate of Conformity: a statement that the product meets a stated standard or specification
- Material certificate: details of the material composition and properties, often needed for pressure parts
- Calibration certificate: shows an instrument was checked against a reference standard
- Inspection report: results of a check or test on the item
- Country of origin: where the product was made
- Packing list and commercial invoice: needed for shipping and customs
- Warranty documentation: terms of coverage
Ask early
Documentation is easiest to arrange before the order is placed. Tell your supplier which documents you need at the time of the request, because availability depends on the product and the manufacturer.
Only rely on claims that are backed by paperwork
If a product is described as meeting a standard or holding a certification, ask to see the supporting documentation. Responsible suppliers state compliance only when the product or manufacturer documentation supports it.
